Why This Dashboard Matters

This model avoids coloring cells or relying on batch deposits. Every incoming or outgoing movement is shown by transaction. That means the CFO sees the exact invoice, payer, bank account, due date, reject reason, re-send status, and payment outcome without waiting for deposit summaries.

Worksheet Logic

Aging days = current date minus RfP due date for unpaid invoices, or current date minus due date on remaining balance for partial-pay items. Final outstanding amount = invoice initial amount less real-time receipts.

No Color Matching

This operating model does not rely on colored cells. Matching is driven by identifiers, amounts, timestamps, RTN/account references, invoice number, and bank-confirmed transaction status.

Grouped Aging Output

Final aging output supports Current, 30-day, 60-day, 90-day, and 120+ for dashboards, collector work queues, CFO summaries, and re-send campaigns.

35-Field Transaction File View

A transaction-level operating sheet for upload to and download from the bank dashboard. Each row represents one RfP transaction with enough detail to determine acceptance, rejection, return, aging, reconciliation, and re-send readiness.

Why Transaction-Level Reporting Wins

Batch deposits are no longer the center of truth. In this product view, the CFO sees each RfP individually: when it was issued, who received it, how it was delivered, what the payer did, whether funds settled, and whether the remaining balance belongs in aging or in exceptions.

Bank Upload / Download Flow

Upload aging RfP files through XML, JSON, or spreadsheet schema. Download transaction status updates and funds-sent or funds-received confirmations in structured format for instant reconciliation and automated aging refresh.

Rejects & Returns Coding Center

Linked HTML view for all rejecting and returning Request for Payments. This page converts raw failure states into clear operational reasons so the payee can determine whether to re-send, edit the amount, update payer details, or escalate.

Code Category Plain-English Meaning Recommended CFO Action Eligible for Re-Send Linked Workflow
RJ01 Payer Rejected Payer declined the RfP without authorizing payment. Review commercial relationship, contact payer, then issue updated RfP if still collectible. Yes Re-Send Workflow
RJ03 Authorization Window Payer did not act within permitted response timing. Refresh due date and expiration; resend by SMS plus email. Yes Re-Send Workflow
RJ11 Amount Rejected Payer refused the amount or disputes invoice amount. Move to dispute or partial-pay negotiation queue. Conditional Outstanding Balance Review
RT04 Account Details Bank account or routing data failed validation. Correct payer banking data before re-send. No Open Transaction Data
RT07 Settlement Failure Payment was attempted but failed before good funds were finalized. Inspect funds-received status and bank reason; re-send only after root cause clearance. Yes Daily Bank Report
PT01 Partial Payment Payer remitted less than invoice amount. Create new balance-due RfP for the remaining amount. Yes Balance Re-Send

Why It Reduces A/R Aging

The hosted page compresses the time between invoice reminder and payment action. SMS, email, and text-based links bring the payer directly into a payment-ready screen instead of forcing them to search for invoices or call accounting.

How It Works (CFO View)

A practical sequence for controlling receivables through Request for Payments with one bank account at one bank.

1. Create digital invoice and RfP

Invoice data is generated from A/R and wrapped in structured fields for delivery to the payer.

2. Deliver by email, SMS, or text link

Payers receive secure payment-ready communication with due date, invoice amount, and payment link.

3. Track each RfP by transaction

Every response, reject, partial payment, and good-funds confirmation is stored at the transaction level.

4. Age only final outstanding RfP balances

Paid items fall out of aging. Partial-pay items age only on the remaining balance.

5. Code rejects and returns for action

Operational reason codes determine whether to re-send, edit, hold, or escalate.

6. Report daily funds sent and received

Treasury reporting updates throughout the day without depending on batch deposit views.
